Responsibilities

The Department of Chemical Engineering is seeking a Program Coordinator. Reporting to the Business Manager, the Program Coordinator will be responsible for all aspects of events/conferences and meeting planning, including strategizing of the types of events to maximize department visibility and public relations (PR). Event related responsibilities include, but not limited to, reserving space, transportation, facilities/audiovisual arrangements, catering orders, set-up/clean-up, preparing of materials, and advertising of the event. Responsibilities also include arranging accommodations and itineraries for department visitors, such as faculty candidates and prospective students, as well as expense reimbursement processing as needed. Responsible for the financial oversight of all events, including vendor selections and preparing, forecasting, and working with an approved budget, invoice payments, etc.

The Program Coordinator will also oversee all aspects of marketing and PR for the department. Responsibilities include maintaining a strategic web presence for the department, including website and social media pages (i.e. Facebook, Twitter, LinkedIn), and including developing and writing fresh content. Responsible for working and coordinating closely with internal contacts in both University and College of Engineering Marketing and Communications teams to develop strategies and outreach as appropriate for public relations to increase the visibility of department. Assist in developing content and creation of the department annual Scholarship report by working closely with the COE Marketing team and Department Chair. Will also work closely with faculty in developing monthly Postcard content and announcements while working closely with the College of Engineering Marketing team for deadlines, content approval, and mailing schedules. Additional responsibilities include overseeing all aspects of the department monthly newsletter, including developing content and creation of monthly department e-newsletter as well as management of member list. Will develop other marketing material such as posters, flyers as needed or at the request of faculty or staff. Responsible for the financial oversight of all marketing/PR, including vendor selections, and working with an approved budget, invoice payments, etc.

The Program Coordinator will also provide administrative support to the Department Vice Chair and Safety Officer in the maintenance of the Process Safety Engineering Graduate Certificate program. Responsibilities include, but not limited to, maintaining current information on the website and any relevant public documents such as the student catalog, and providing customer service and handle inquiries regarding the program to both internal and external persons, including potential students. The position will also work closely with the Global Experience Office (GEO) to coordinate any summer research foreign exchange programs. The position will also work closely with the other staff members in the department by assisting with special projects and other administrative support within the department as needed.
Qualifications

A bachelor’s degree is required with a minimum of 2 years of experience. The successful candidate must be reliable, punctual with the ability to multi-task at all times. The candidate will naturally be proactive with the ability to take initiative and ownership of responsibilities. Strong organizational skills and ability to meet deadlines. The candidate should be able to work independently, as well as, in a team environment. Excellent internet and computer skills including Microsoft Office, (Including Word, Excel, PowerPoint, Outlook), and the ability to learn new systems independently. Strong proficiency in Microsoft Excel required. Ability to forecast and prepare, manage, and work within an assigned budget required. Ability to have a flexible schedule from time to time to meet event needs, and some occasional travel (~>5) may be required. Must be able to gather and analyze department data statistics and translate into marketing materials as needed.
