Northeastern University seeks an experienced, service-oriented Ordering Assistant to share responsibility for the ordering and acquisition of electronic and physical materials for the Snell Library collections and operational needs. The Ordering Assistant works closely with Library Selectors and other library staff to process orders as needed using both the library management system and the University’s financial management system.

Key Responsibilities:
As a member of the Ordering & E-Resources Unit the Ordering Assistant will: Assist in the acquisitions process for library collection and supply/operational orders which includes but is not limited to, reviewing order requests, communicating & placing orders with vendors, monitoring order status, and monitoring funds. Collaborate with the Library Accounts unit to reconcile monthly statements and gather needed documentation for purchase and vendor records. Manage the subscription renewal process and maintain subscription lists while monitoring for publisher and/or title changes. Maintain various records in the Library’s management system which includes bibliographic, order, vendor, inventory, and license records. Develop and foster good working relationships with vendors, sales representatives, Library selectors, and other University staff.


Some college required (at least 2 years preferred), minimum of 2 years related experience, preferably in an automated library, customer service, or subscription agency environment. Excellent organizational, analytical, and interpersonal skills. Excellent communication skills with the ability to express ideas clearly and positively, both verbally and in writing. Aptitude for accurate, detailed work essential. Ability to work independently, with frequent interruptions. Knowledge of bibliographic components, publishing, and relevant technology is helpful. Ability to work effectively with a diverse staff and clientele and to function well in a team environment. Desktop software application skills required for the following: web browsers, Adobe, Microsoft Word, Excel and Outlook. Intermediate Excel skills preferred. Ability to lift 20lb boxes and push fully loaded book trucks.
